How to reply to negative reviews, and what the FTC rule allows

Written by the Allinaa team · Updated

A public reply is read by everyone who visits your profile, and a careless one can stay there for years. The reply habits below work on any platform today, with or without software, and the FTC rule on consumer reviews (in force since October 21, 2024) sets hard limits on what a business may do about reviews. Allinaa's own comment and review replies are built but not live: they are available once each platform approves Allinaa, and even then nothing is posted without a person's approval.

Replying to negative reviews well

Whatever tool you use, the same habits make a hard review less damaging:

  1. Reply, and reply soon. Silence reads as indifference to the next reader.
  2. Thank them and name the issue. "Thanks for telling us the order arrived two days late" shows you read it.
  3. Do not argue the facts in public. Give one short, calm sentence of context if it helps, then move the conversation to a phone number or e-mail.
  4. Protect privacy. Never confirm someone is a patient or client, and never post order details, diagnoses or account information in a reply.
  5. Do not offer anything in exchange for changing or removing a review. Fix the problem because it is a problem.

An illustrative draft (an invented bakery; the AI drafts are available once each platform approves Allinaa). Review: "Cake was dry and pickup took 30 minutes."

AI draft for approval: Thank you for the feedback, and we're sorry about the wait and the cake. That isn't the standard we aim for. Please e-mail us at the address on our website so we can make it right.

The owner might edit this to add the bakery's real e-mail before approving. That edit is the point of the approval step.

What the FTC reviews rule means for businesses

In the United States, the Federal Trade Commission's rule on consumer reviews took effect on October 21, 2024. The FTC's official questions and answers explain it in plain language. In short, a business must not:

  • write, buy or sell fake reviews, including reviews from people who never used the product;
  • offer a reward on the condition that the review is positive;
  • post reviews by employees or relatives without making the connection clear;
  • suppress reviews with threats or intimidation, or by hiding negative ones it claims to display in full;
  • buy fake followers or views to look more popular.

Allinaa's design fits this: it replies to reviews and comments that exist, it never deletes or hides them, and it does not write reviews. Platforms add their own policies; for example, Google's contribution policy covers fake engagement and conflicts of interest. This page is general information, not legal advice.

How Allinaa will handle public replies: nothing posts without approval

Allinaa's comment and review connections are built and available once each platform approves Allinaa. Each connection will have a public-reply setting with two positions:

  • Off (the default): comments and reviews appear in your Allinaa inbox so nothing is missed, but nothing is drafted and nothing is posted.
  • Approve: the AI may write a draft from your approved knowledge. The draft waits in an "awaiting approval" queue until an owner or manager approves it, edits it or rejects it.

There is no third setting that posts on its own. A wrong answer in a private chat affects one person; a wrong public answer is read by everyone who visits your page. Reviews in particular often involve a real complaint, a refund or someone's health, and those need a human decision.

Status by platform: built, awaiting each platform's approval

Each row needs that platform to approve Allinaa's app for the access in question. We cannot speed that up, so we do not give dates. When a row changes, this page changes.

What you can do today

  • Reply to comments and reviews yourself on each platform; the habits above apply right now.
  • Write the answers you give most often into your Allinaa knowledge, so drafts will start from your real wording once the platforms approve Allinaa.
  • Use the website chat to answer pre-sales questions before they turn into public complaints.
  • Read our chatbot best practices guide for tone and hand-off rules.

Comment and review replies are listed as a Premium feature in the pricing section, with the note that they arrive as each platform grants access.

Questions

Will Allinaa ever post a reply without my approval?

No. Public replies are never posted automatically. With the setting off, nothing is drafted; with it on, every draft waits until an owner or manager approves it.

Can the AI remove or hide bad reviews?

No. Allinaa does not delete or hide reviews or comments. It helps you answer them.

Why does LinkedIn get no AI drafts?

For LinkedIn Page comments the AI writes no drafts at all; your team writes each reply. Like the other platforms, it is available once the platform approves Allinaa.

Can I answer Google reviews through Allinaa before the platform approves it?

Not yet. Google review replies are available once the platform approves Allinaa's access. Until then, reply from your Business Profile directly.
