A website chatbot for manufacturers, distributors and wholesalers
Written by the Allinaa team · Updated
A purchasing manager visiting a manufacturer's website doesn't want small talk. They want to know whether you make the part, in what material and tolerance, at what minimum order quantity, and how fast. An Allinaa assistant answers from your datasheets and catalog pages and turns a serious buyer into a request for quote with the specifications your sales engineers need.
B2B buyers want specs, MOQs and lead times
Typical questions on an industrial or wholesale site:
- "Do you make this bracket in 316 stainless?"
- "What's the MOQ on custom colors?"
- "What's your current lead time for 5,000 units?"
- "Do you ship to Mexico? Who handles customs?"
- "Can you provide material certificates with the shipment?"
- "Is there a distributor in my region?"
Some of these have fixed answers you can publish. Others, like lead time, change month to month, and the knowledge should say how current the stated figure is, or tell the assistant to send those questions to sales.
Answering from datasheets and catalog pages
The assistant reads the visible text of the product page the buyer is viewing and the approved knowledge you write. For technical products, that means:
- Put specifications in text, not only in PDF datasheets or images. Dimensions, materials, finishes, tolerances, ratings and standards should appear on the product page or in the knowledge.
- Be explicit about options: which sizes, materials and finishes are standard and which are custom.
- Let it say "I don't know". If a spec isn't listed, the assistant should offer to ask an engineer, not estimate. AI answers can be wrong, so test it on your trickiest products before launch.
RFQ capture: quantities, specifications, delivery location
When a buyer is ready for pricing, the assistant asks up to three short clarifying questions, one at a time, and skips anything already provided:
- Part number or description, material and finish
- Quantity per order and expected annual volume
- Required delivery date
- Delivery location (country and city or port)
- Company name and the buyer's role
The buyer confirms contact details and agrees to be contacted, your sales team gets an e-mail with the full RFQ, and it's saved in your inquiry inbox with a status, private notes and CSV export for your ERP or CRM. Allinaa doesn't connect to those systems directly. On Premium, buyers can attach drawings or spec sheets to the chat; files are checked for malware and stored privately. See quote requests.
Matching a part from a photo (Premium catalog search)
Maintenance buyers often have a worn part in hand and no part number. On Premium, you import your catalog as a CSV or JSON file with names, part numbers, prices if you publish them, availability and links to your product pages. A buyer can upload a photo or describe the part, and the assistant replies with likely matches from your catalog, with a link to each. Matches marked as possible should be confirmed by the buyer or your team. See photo product search.
International buyers: chatbot languages plus catalog localization
Export buyers read English, but they ask faster and more precisely in their own language. Standard includes 3 chatbot languages, American English plus two you choose. Premium covers all supported languages, 108 in the chatbot catalog today. The assistant explains your English specifications in the buyer's language. If you also want your catalog and website translated by people, Allinaa's website localization service starts from $300 per project for one language, or from $500 for up to three.
Distributor and dealer inquiries
Add a section for companies that want to resell your products: regions where you are looking for partners, requirements, and how you evaluate applications. The assistant asks for company name, territory, the lines they carry today and their customer base, and captures the inquiry for your channel manager. If you already have a distributor in a region, list it so the assistant can point buyers there.
Illustrative conversation
Buyer (on a hinge product page): Is this available in 316 stainless, and what's the MOQ?
Assistant: This hinge is standard in 304 stainless and zinc-plated steel. 316 stainless is available as a custom material, and our ordering terms set a minimum of 1,000 pieces for custom materials. Would you like to request a quote?
Buyer: Yes, 2,500 pieces, delivery to Monterrey.
Assistant: Thanks. When do you need delivery, and do you have a drawing or a part number from your current supplier? Then I'll send the RFQ to our sales team.

Questions owners ask
Can the chatbot quote prices for custom parts?
No. It collects an RFQ with specifications, quantities and delivery location so your sales team can quote.
Can it read our PDF datasheets?
It reads the visible text of your web pages and your approved knowledge. Put key specifications in text for the best answers.
How does photo part matching work?
On Premium, you import your catalog as a CSV or JSON file. Buyers upload a photo or describe the part, and the assistant suggests matches with links.
Can it tell a buyer your minimum order quantity?
Yes, if your product pages or knowledge state MOQs. For smaller quantities or custom runs it collects an RFQ for your sales team.
