A website chatbot for freight forwarders and logistics companies

Written by the Allinaa team · Updated

"How much to ship a pallet to Chicago?" A freight quote can't be given without half a dozen facts, and shippers rarely include them in the first message. An Allinaa assistant collects those facts in a short conversation, answers questions about your services from your own pages, and hands your sales desk a complete quote request.

What a freight quote needs: origin, destination, cargo, weight, dimensions, dates

Write down what your quoting team needs, and the assistant will ask for it in up to three short questions, one at a time, skipping anything the shipper already said:

  • Origin and destination: city and ZIP or postal code; port or airport for international moves
  • Cargo: what it is, how it's packed (pallets, crates, loose cartons), and whether it's hazardous, temperature-controlled or oversized
  • Weight and dimensions: per piece and total, plus number of pieces
  • Timing: ready date and required delivery date
  • Services: pickup, liftgate, inside delivery, customs brokerage, insurance
  • Incoterms for international shipments, if the shipper knows them

Then the shipper confirms contact details and agrees to be contacted. Your sales desk gets an e-mail with every field, and the request sits in your inquiry inbox with a status and private notes, exportable as CSV. Allinaa doesn't connect to transportation management systems or rate engines, so pricing stays with your team. See quote requests.

Modes and services you offer, from your pages

Shippers want to know quickly whether you're the right kind of company: LTL or full truckload, ocean FCL and LCL, air freight, drayage, warehousing, cross-docking, last-mile delivery. Describe each service on your website and in the knowledge, including lanes or regions you focus on and the kinds of cargo you don't handle. The assistant knows which page the visitor is on, so your ocean freight page gets ocean freight answers.

Documentation questions: general answers, no customs advice

Shippers ask about bills of lading, commercial invoices, packing lists, certificates of origin and HS codes. The assistant can explain what documents your company asks for and why, in general terms, from text you approve. It should not classify goods, decide duties, or say whether something can be imported into a given country. Those questions go to a licensed customs broker or your compliance team. Put that boundary into the knowledge, and test it with a few classification questions before launch. AI answers can be wrong, and a customs mistake is expensive.

Tracking: sending shippers to your tracking portal

The assistant can't see shipments. It isn't connected to a tracking system. Keep the widget off your tracking portal: it skips addresses with segments such as portal, account or login, but it would read a logged-in page at any other address. For "where is my shipment?", it should explain where to track (your tracking page or portal, using the reference number on the shipping documents), and offer to collect a support request with the reference number for your operations team. Write that answer exactly as your operations team wants it. See order and shipping questions.

International shippers and languages

Forwarders work with importers and exporters who often prefer their own language. Standard includes 3 chatbot languages (American English plus two you choose, for example Spanish and Chinese). Premium covers all supported languages. On Premium, shippers can also attach commercial invoices or packing lists to the chat; files are checked for malware and stored privately for your team, and the unified inbox brings website chat and Telegram conversations together.

Illustrative conversation

Shipper: Need a rate for 4 pallets from Dallas to Atlanta.

Assistant: I can get that to our LTL desk. What's being shipped, and roughly what does each pallet weigh and measure?

Shipper: Packaged auto parts, about 900 lbs each, standard 48x40, around 5 feet high.

Assistant: Thanks. When will the freight be ready, and does either location need a liftgate or have a loading dock? Then I'll send the request, and our team will reply with a quote.
