A website chatbot for coaches, consultants and solo professionals

Written by the Allinaa team · Updated

When you're a one-person business, every hour with a client is an hour you aren't answering prospects. Website visitors read your About page, look at your packages, and leave with a question you never hear. An Allinaa assistant answers those questions in your own words, checks whether the person is a good fit, and sends you the ones worth a discovery call.

When you are the whole company

Solo coaches and consultants tend to lose prospects in three places:

  • The visitor has a question that isn't on the website ("do you work with nonprofits?") and never asks it.
  • The question arrives as a message while you're in a session, and by the time you answer, they've booked someone else.
  • Discovery calls fill up with people who were never a fit, for budget, timing or topic.

A website assistant helps with all three if it's set up with your real positioning, not generic coaching language.

Answering "how do you work?" in your own words

The assistant answers from the knowledge you approve, so the knowledge should sound like you. The setup wizard drafts it from your website; then spend twenty minutes adding what you say on calls:

  • Who you work with, and who you don't
  • Your process: how an engagement starts, how often you meet, what happens between sessions
  • Formats: one-on-one, group programs, workshops, retainers, project work
  • Typical outcomes you work toward, with no promised results
  • Your background and credentials, exactly as you'd state them

Avoid putting anything in the knowledge you wouldn't say to a prospect directly. The assistant repeats it to anyone who asks. AI answers can be wrong, so read a dozen test answers before you go live.

Qualifying fit before a discovery call

Allinaa's assistant asks up to three short clarifying questions, one at a time, and only those still unanswered. Choose the ones that predict fit for your practice, for example:

  1. What they want help with, in a sentence
  2. Their role or type of business
  3. Timing: now, this quarter, just exploring
  4. Whether your published fee range works for them

Then it offers the inquiry form. The visitor confirms contact details and agrees to be contacted, you get an e-mail notification, and they get a confirmation e-mail. If you use an online scheduling page, put the link in the knowledge and the assistant can share it with qualified prospects. Allinaa doesn't connect to scheduling tools. See lead capture.

Fees and packages: what to publish

Many solo professionals don't publish prices, and then spend calls on people who can't afford them. You don't need a full price list. A sentence like "most one-on-one engagements start at a monthly retainer; workshops are priced per group" or a starting price per package gives the assistant something true to say. If you publish nothing, it explains what affects your fees and offers a call. It will not make up a number.

Inquiry inbox and email notifications

Each inquiry arrives in your e-mail and is saved in the inquiry inbox, where you can mark it New, In progress or Completed, add private notes ("referred by Sam", "follow up in January"), search past inquiries and export them as CSV. Conversations continue across pages and return visits, so a prospect who comes back a week later picks up where they left off. See the inquiry inbox.

Is Standard enough for a solo business?

For most solo practices, yes. Standard includes the website assistant, 3 languages, 2,000 AI replies a month, inquiry capture, e-mail notifications, the inquiry inbox and a monthly report. Premium makes sense if you need:

  • More languages, for an international client base (all supported languages)
  • File uploads, for example clients sending documents before a session
  • Team accounts, live chat takeover, or one inbox for website chat and Telegram

Our Standard vs. Premium guide goes through the differences in detail.

Illustrative conversation

Visitor: Do you work with first-time managers in tech companies?

Assistant: Yes. Most of my clients are new engineering and product managers in their first year of managing. I work one-on-one over three months, with sessions every two weeks. What's the main thing you'd like help with?

Visitor: Giving feedback without wrecking the team mood. Probably want to start next month.

Assistant: That's one of the most common topics I help with. The three-month program fee is on the Work With Me page. If that works for you, I can send your details for a free discovery call. What's your name and e-mail?

Questions owners ask

Will the chatbot sound like me?

It answers from the knowledge you approve. Add your own phrasing about how you work, and it will use it.

Can it book discovery calls?

It doesn't connect to scheduling tools. It can share your scheduling link or capture a discovery-call request that you follow up.

Is Standard enough for a solo practice?

For most, yes: website assistant, 3 languages, 2,000 AI replies a month, inquiry capture and the inbox. Premium adds more languages, file uploads and team features.

What if I don't publish my fees?

It explains what affects your fees and offers a call. It won't make up a number.
