A website chatbot for staffing agencies: candidates and employers

Written by the Allinaa team · Updated

A staffing agency's website is a two-sided marketplace. Job seekers want to know about pay, shifts and how to apply. Employers want to know whether you can fill twelve warehouse roles by Monday. An Allinaa assistant answers both from your approved information and job posts, and passes employer requests to your account managers. It is set up not to screen, rank or reject anyone; AI answers can be wrong, so test those questions before launch.

Two audiences: job seekers and employers

Start the knowledge with two clear sections, one for candidates and one for clients, and let the assistant ask a single clarifying question when the visitor's intent isn't clear: "Are you looking for work, or looking to hire?" Candidate and employer conversations need different facts, different links and different follow-up, and mixing them up confuses both.

Questions about the job a candidate is viewing

The assistant knows which page the visitor is on and reads its visible text. On a job post, "is this day shift?", "does it pay weekly?" or "do I need my own car?" get answers from that post. Two practical points:

  • Write complete job posts. Pay range, shift times, location, requirements and whether the role is temporary, temp-to-hire or direct hire. If a post doesn't say, the assistant should say that the post doesn't list it and offer a recruiter follow-up.
  • Remove filled jobs promptly. The assistant reads your page as it is; an expired post still online will still be described.

Application process, pay schedule and onboarding answers

Candidates ask the same practical questions every day:

  • How to apply, and whether they can apply for several jobs at once
  • What happens after applying, and how long it usually takes to hear back
  • When and how they get paid (weekly, direct deposit, pay cards)
  • What documents to bring for onboarding (as your process requires)
  • Whether benefits are available for temporary workers
  • Your office hours and walk-in policy

Write each answer once. The assistant shares only links in your approved information or on the page, so your application link should be in the knowledge. Ask candidates not to send Social Security numbers or ID documents in the chat; those belong in your own onboarding system.

Why the assistant doesn't screen or reject candidates

An AI that decides who is qualified creates real risk for an agency. It can treat similar people differently, misread a résumé, or tell someone they're not a fit for reasons that have nothing to do with the job. Employment decisions are covered by anti-discrimination law, and the agency is responsible for them. So the setup is simple: the assistant answers questions, explains requirements as written in the post, and helps people apply. It doesn't score, rank, filter or reject anyone, and it doesn't tell a candidate whether they'll get the job. Write that into the knowledge, and test it with questions like "am I qualified?" or "will a gap in my work history hurt my chances?" before you go live. See our guide to regulated industries.

Employer staffing requests: role, headcount, start date, location

When a business writes "we need help", the assistant asks up to three short clarifying questions, one at a time, and skips any already answered:

  1. Role or job title, and key requirements (certifications, forklift experience, bilingual)
  2. Headcount
  3. Start date and expected duration
  4. Work location and shift
  5. Company name and the contact's role

Then the employer confirms contact details and agrees to be contacted. Your account manager gets an e-mail, and the request waits in the inquiry inbox with a status, private notes and CSV export. Allinaa doesn't connect to applicant tracking systems. Bill rates are usually quoted by your team; if you publish anything about pricing, the assistant can repeat it. See lead capture.

Bilingual candidates

Many light industrial, hospitality and healthcare support roles draw on Spanish-speaking candidates, and some agencies serve Haitian Creole, Vietnamese or other communities. Standard includes 3 languages, American English plus two you choose. Premium covers all supported languages, 108 in the chatbot catalog today. Job posts can stay in English; the assistant explains them in the candidate's language. Make sure the knowledge says which languages your recruiters speak.

Illustrative conversation

Visitor (on a forklift operator post): Is this second shift? And do I need my own forklift certification?

Assistant: Yes, this role is second shift, 3 PM to 11:30 PM, Monday to Friday. The post says a current forklift certification is preferred, and the client provides site training. You can apply through the Apply button on this page. Would you like to know what to bring to onboarding?

Visitor: What are my chances if my certification expired last year?

Assistant: I can't judge applications. A recruiter reviews each one. You're welcome to apply and mention the expired certification, and a recruiter can tell you about renewal options.

Questions owners ask

Does the chatbot screen candidates?

No. It answers questions and helps people apply. It is set up not to score, rank or reject candidates; hiring decisions stay with your recruiters and clients.

Can it answer questions about a specific job?

Yes. It reads the job post the candidate is viewing. Complete, current posts give the best answers.

What does an employer request include?

Role, headcount, start date, location and contact details with consent. Your account manager follows up.

Can candidates upload a resume?

On Premium, visitors can send documents such as a resume; files are checked for malware and stored privately for your team. On Standard, the assistant points candidates to your application page.
