Targeted email outreach campaigns

Written by the Allinaa team · Updated

Email outreach is the core of Standard lead generation (from $1,000/month). Each month we research 200 targeted contacts, write messages that give each of them a reason to reply, and report what happened.

Choosing the 200 targets

Two hundred well-chosen contacts are worth more than thousands of random addresses. Each one should match the profile we agree on with you:

  • Who the business is: industry, location, size and anything that makes your offer fit, such as several locations or a certain type of customer.
  • Who decides: the owner of a small firm, an operations manager, a practice manager. Writing to the right person matters more than writing to more people.
  • Why now: a signal that the business may need you soon, such as opening a new location, hiring for a role your service replaces, or a website that is missing something you provide.
  • Who to leave out: your current customers, partners, competitors and anyone you are already in touch with.

Personalized messages, not blasts

A personalized message is not just a first name pasted into a template. It explains why you are writing to this business, offers one relevant thing and asks one easy question. Here is an illustrative example for an imaginary bookkeeping firm; the names and details are invented:

Subject: Bookkeeping across your two Columbus locations

Hi Maria, I noticed Rosa's Kitchen opened a second location on High Street this spring. Running books for two sites is usually where the month-end close starts to slip.

We handle bookkeeping for independent restaurants with more than one location. Who looks after your books today? If it's useful, I can send a one-page overview of how we split reporting by location.

Daniel, Example Bookkeeping, [postal address]. If you'd rather not hear from us, reply "no thanks" and we won't email you again.

Notice what it does: a specific reason to write, one clear offer, a low-effort question, the sender's postal address and an easy way to opt out. Any follow-up messages are agreed with you in advance and stop as soon as the person replies or says no.

CAN-SPAM basics

In the United States, commercial email is governed by the CAN-SPAM Act, and the FTC's compliance guide for business sets out the requirements. The Act makes no exception for business-to-business email. In short:

  • Don't use false or misleading header information: the "From", "To" and reply-to details must be accurate.
  • Don't use deceptive subject lines.
  • Identify the message as an advertisement where the rules require it.
  • Include a valid physical postal address.
  • Explain clearly how to opt out of future email.
  • Honor opt-out requests promptly; the FTC guide sets a limit of 10 business days.
  • Monitor what others do on your behalf. The FTC is explicit that both the company whose product is promoted and the company that sends the message can be held responsible.

The last point is why we agree the sender details, the address line and the opt-out handling with you before the first send. Outreach to recipients outside the United States can fall under stricter consent laws, so target countries are agreed in advance as well. This is a summary, not legal advice.

The monthly results report

Standard includes a monthly results report. It is built around the questions you would ask anyway: who was contacted and why they fit the profile, what was sent, who replied and how, which conversations were handed to you, and which opt-outs were recorded. It also notes what we plan to change next month, such as a different segment, a new angle in the first line or a shorter message. If you need the same view every week across several channels, that is Premium multichannel outreach.

Where replies go: your inbox and your chatbot

Replies arrive at the address we agreed on, so you can answer interested prospects directly. Many people will not reply to the email at all; they will visit your website first. If the email links to a page about the offer, an Allinaa assistant on that page can answer questions from your approved information, including details from the page the visitor is viewing, and capture an inquiry with the visitor's permission. The inquiry lands in your inquiry inbox, and you get an email notification. Read how a chatbot on landing pages works, or try one with the 14-day free trial at bot.allinaa.com/start.

Send us a short description of your offer and your best current customers through the contact form or to info@allinaa.com. The lead generation overview compares both plans, and prices are in the pricing section.

Frequently asked questions

Is cold email legal in the United States?

Commercial email to businesses is allowed under the CAN-SPAM Act if the message follows its rules: honest headers and subject lines, a valid postal address, a clear way to opt out, and opt-outs honored promptly. The law does not require prior consent, but other countries' laws can. This is general information, not legal advice.

Which email address are the messages sent from?

We agree on the sending address and where replies arrive with you before the first message goes out, so that you see and own every conversation.

What happens when someone asks not to be contacted?

They are removed from the outreach and not contacted again. The FTC requires opt-out requests to be honored within 10 business days; we act on them as soon as we see them.
