What is an AI chatbot? A plain-English guide for business owners
Written by the Allinaa team · Updated
An AI chatbot is a program that reads a customer's question, written in their own words, and writes an answer. On a business website it is usually a small chat window in the corner of the page.
Rule-based vs. AI chatbots in one paragraph
Older chatbots follow a script: buttons and keywords lead to prepared answers. They are predictable, but they break as soon as a customer phrases something differently. AI chatbots understand free-form questions and write a fresh answer each time, which makes them far more flexible and also means they can occasionally get things wrong. The guide on AI vs. rule-based chatbots compares them in detail.
Language models, briefly
The engine inside an AI chatbot is a language model: software trained on a very large amount of text until it became good at predicting which words come next. That simple skill, done at scale, lets it understand questions, summarize, translate and write replies in a natural tone.
What a language model does not have is knowledge of your business. It doesn't know your prices, your hours or that you stopped offering Sunday appointments. Left alone, it may fill that gap with something that sounds right. That is why business chatbots work differently from a general AI assistant.
Where the answers come from: your approved knowledge
A business chatbot is given a text about your business, its knowledge, and instructed to answer only from it. When a visitor asks "Do you do same-day repairs?", the assistant looks for the answer in that text and rephrases it for the visitor. If the text doesn't say, a well-built assistant says it doesn't know and offers to pass the question on.
In Allinaa, that text is your approved business information. You can draft it from your own website with the setup wizard's website scan, edit it, and approve it before the assistant uses it.
What it can do on a website
An illustrative evening conversation on a bakery's website:
Visitor: Can you make a gluten-free birthday cake for Saturday?
Assistant: Yes, we make gluten-free cakes to order. Orders need 3 days' notice, so Saturday is still possible if you order by Wednesday. Would you like to send the details so the team can confirm?
In that one exchange the assistant answered from the bakery's knowledge, applied a rule (3 days' notice) and offered to collect the order request. Typical jobs on a small business website:
- Answering questions about services, prices, hours and policies.
- Answering based on the page the visitor is viewing.
- Asking a few clarifying questions and collecting an inquiry, with the visitor's permission.
- Answering in the languages you configure.
- Continuing a conversation when the visitor moves to another page or comes back later.
- On Premium, receiving photos and documents and finding products in your catalog.
Limits: wrong answers, no judgment calls
- It can be wrong. AI answers can be wrong, especially when the knowledge is missing, unclear or contradictory. Review conversations, and fix the knowledge when you find a mistake. See keeping answers accurate.
- It doesn't make decisions. It can't approve a refund, judge an emergency or make an exception. Those go to a person.
- It knows only what you told it. If your schedule changes and the knowledge doesn't, the answers will be out of date.
- It isn't an advisor. In health, legal, tax and insurance matters it should stick to administrative questions.

If the idea fits your business, three short reads help you decide: is a chatbot worth it?, what it costs, and the glossary for the terms vendors use. Or see one working: the 14-day free trial builds an assistant from your own website, with 200 AI replies and no credit card.
Frequently asked questions
Is an AI chatbot the same as ChatGPT?
Both use language models, but a business chatbot is instructed to answer only from your approved business information, inside a chat window on your website.
Does the chatbot learn from my customers?
Not by itself. In Allinaa, knowledge changes only when you or the Allinaa team approve a new version.
Do I need technical skills?
No. You set up the assistant yourself in the setup wizard, step by step, with no setup fee, and the Allinaa team helps if you get stuck.
