A website chatbot for nonprofits: services, volunteers and donors

Written by the Allinaa team · Updated

A nonprofit website usually serves three groups at once: people looking for help, people who want to volunteer, and people who want to give. Small teams rarely have someone free to answer all three. An Allinaa assistant answers from the information your organization approves, in the languages your community speaks, and sends urgent situations to the hotlines you list.

Three audiences: people you serve, volunteers, donors

Structure the knowledge in three clear sections, and let the assistant ask one clarifying question when it isn't obvious who is writing ("Are you looking for services, interested in volunteering, or asking about a donation?"). Each section has its own facts, its own links and its own tone. People seeking help need short, direct, practical answers; donors need accurate details about how their gift is used and receipted.

Eligibility and service questions in your community's languages

The most important questions come from people who need your services:

  • "Do I qualify for the food pantry? Do I need ID?"
  • "When is the next free tax clinic, and what should I bring?"
  • "Do you help people who aren't citizens?"
  • "Is there a cost? Do I need an appointment?"
  • "Where are you, and is it near a bus stop?"

Write eligibility rules exactly as your programs apply them. If eligibility is decided case by case, say that and give the way to start. Language access matters here: Standard includes 3 languages (American English plus two you choose), and Premium covers all supported languages, 108 in the chatbot catalog today. Urgent and crisis situations: hotlines you list, not chatbot advice

Some visitors will write in crisis: about violence at home, thoughts of suicide, homelessness tonight, or a medical emergency. A chatbot must not try to counsel them. Put a crisis section at the top of the knowledge that the assistant repeats, word for word, when someone describes an urgent situation:

If you are in immediate danger, call 911. If you are thinking about suicide or are in emotional crisis, call or text 988 to reach the 988 Suicide & Crisis Lifeline. For [your service], call our hotline during the hours listed on our Contact page.

Replace the bracketed part with your own services and add the local hotlines you work with. The 988 Lifeline site explains that service. Test the crisis wording yourself with realistic messages before you go live. AI answers can be wrong, and this is the place to check most carefully.

Volunteer sign-up inquiries

Volunteers ask about roles, time commitment, minimum age, background checks, training dates and whether groups or companies can volunteer together. Write those answers once. When someone is ready, the assistant asks a couple of short questions (interests, availability, group or individual) and captures an inquiry with their consent. Your volunteer coordinator gets an e-mail, and the inquiry is saved with a status and notes so nothing gets lost between volunteer days. See FAQ answers.

Donation questions: only what your finance team approves

Donors ask: "Is my donation tax-deductible?", "Can I give stock?", "Do you accept used furniture?", "Can I make a gift in someone's memory?" The assistant should answer only from text your finance or development team approved, including your organization's tax status as stated in your own materials. It should not give tax advice to donors; it can say that donors should check with their own tax advisor. Link to your online donation page, which the assistant shares from the knowledge, and keep payment details out of the chat.

Illustrative conversation

Visitor: I lost my job and can't pay rent this month. Can you help?

Assistant: I'm sorry you're dealing with this. Our emergency rental assistance program helps residents of the county who are behind on rent. To apply, call our intake line during the hours on our Contact page, or come to the walk-in hours on Tuesdays. Please bring a photo ID and your lease. Would you like me to send a request for an intake worker to call you?

Visitor: Yes please.

Assistant: Thank you. What's the best phone number, and what time of day is easiest to reach you?
