A website chatbot for gyms, yoga and fitness studios
Written by the Allinaa team · Updated
People thinking about joining a gym or studio carry two worries they rarely say out loud: "Will I get stuck in a contract?" and "Will I be the only beginner in the room?" A website assistant that answers both from your own terms and schedule removes a lot of hesitation before the first visit.
What prospects ask before they walk in
- "Do I need to sign a contract? How do I cancel?"
- "Is there an intro offer or a free first class?"
- "I've never done reformer Pilates. Which class should I start with?"
- "Do you have showers and lockers? Do I bring my own mat?"
- "Is there childcare during the 9 AM class?"
- "How early should I arrive for my first session?"
The assistant answers these from the information you approve: membership pages, class descriptions, your FAQ and your facility details. If a detail is not in the knowledge, it should say so and offer to have someone follow up, rather than invent an answer.
Membership terms and cancellation: quoting your contract as written
Many prospects have been burned by a gym that made cancelling hard. If your terms are fair, say so plainly and let the assistant quote them: notice period, whether cancellation can be done online or by e-mail, annual fees, freeze options. If your terms are strict, quote them anyway. A prospect who learns about a 30-day notice period from the chat before signing is a member who does not dispute a charge later. Paste the exact text of your membership terms into the knowledge rather than a summary, so the answer matches what members sign.
Matching a beginner to the right class from your schedule page
The assistant knows which page the visitor is on. If they are reading your class schedule and ask "which one is good for a total beginner?", it can answer using the class descriptions on that page plus anything you added to the knowledge, such as "Start with Foundations or Gentle Flow; avoid Power 45 for your first month." Write those recommendations yourself. The assistant should not invent a training plan. See page-aware answers.
Intro class and trial pass requests
When a prospect is ready, the assistant collects an intro-class request: which class or time they are interested in, their experience level in a few words, and how to reach them, with their permission. Your team gets an e-mail and the request lands in your inquiry inbox with a status and notes. If you sell intro packs online, the assistant can share that link instead. Allinaa does not connect to studio booking software. More about lead capture.
Injuries, pregnancy and health questions: refer to a trainer, no medical advice
"I have a bad knee, can I do spin?" "I'm 20 weeks pregnant, is hot yoga OK?" These questions deserve a real person. Configure the assistant to say that it cannot give medical or exercise advice for an injury or pregnancy, to suggest the visitor check with their doctor, and to offer a call or e-mail from a trainer. Add a line asking visitors not to share health details in the chat. AI answers can be wrong, and this is not a place to take that risk.
Members' questions: freezes, guest passes, schedule changes
Current members use the website too, often for the boring things:
- How to freeze a membership for travel or injury, and for how long
- Guest pass rules and whether a friend's first visit is free
- Holiday schedule changes and substitute instructors
- Where to find the member app or login (keep the widget itself off member-only pages)
Keep a "this week" note in the knowledge for temporary changes, and remove it when it expires. See support for existing customers.
Illustrative conversation
Visitor (on the schedule page): I haven't worked out in years. Is the 6 PM bootcamp too much?
Assistant: Bootcamp is our most intense class, so we suggest starting with Foundations on Tuesday or Thursday at 6 PM. It covers the same moves at an easier pace. Your first class is free with the intro offer.
Visitor: And if I join and hate it, can I cancel?
Assistant: Monthly memberships can be cancelled by e-mail with 30 days' notice, and there's no annual fee. Would you like me to send a request for a free Foundations class?

Questions owners ask
Can the chatbot sign people up for memberships?
No. It answers membership questions and collects intro-class or membership requests. Sign-up and payment stay in your own system.
Will it give exercise advice for injuries?
No. It is set up to decline injury, pregnancy and health questions, suggest checking with a doctor, and offer a call from a trainer.
Can members use it too?
Yes. It can answer freeze, guest pass and schedule questions from your approved information. Keep the widget off member-only pages: it skips addresses with segments such as account or login, but it reads the visible text of other logged-in pages, such as /members/.
How does it know which class suits a beginner?
From your class descriptions and any recommendations you write into its knowledge. It should not invent a training plan.
