A website chatbot for driving schools and instructors

Written by the Allinaa team · Updated

A driving instructor is in a car all day, which is the one job where answering the phone is both impossible and expensive to miss. Pupils and parents enquire in the evening, ask five predictable questions and book with whoever replies first. An Allinaa assistant on your website answers those five from information you have approved and leaves the enquiry waiting between lessons.

The five questions, and their fixed answers

  • "How much is a lesson, and do you do blocks?"
  • "Manual or automatic?"
  • "Do you cover my area, and will you pick me up from home?"
  • "How many lessons will I need?"
  • "Do you have anything in the next couple of weeks?"

Four of those have one true answer in your school and can be written once. The fourth is the interesting one: there is no honest single number, and the assistant should say so in your own words rather than quote an average it cannot support. "It depends on how often you drive and whether anybody else takes you out" is both true and more persuasive than a figure.

Price and blocks, quoted exactly as published

If your prices are on the site, the assistant quotes them precisely as written in your knowledge - per lesson, per block, and what your intensive course includes. It will not calculate what twenty hours would come to, will not apply a discount it has not been given, and will not price a package that is not written down. Write your prices, your block terms, your cancellation notice and your refund position on an unused block, and those become the answers.

Availability: the honest refusal that still wins the pupil

The assistant cannot see any instructor's diary and must not offer a slot or hold one. Write the sentence it uses instead, and make it carry the next step:

I cannot see the diary from here. Tell me your postcode and the days and times that suit you, and I will pass it to the instructor who covers your area - you will normally hear back the same evening.

A pupil who gets that at nine at night has effectively booked. See after-hours answers.

Licences, eligibility and the rules that are not yours

Pupils ask whether they can drive on a foreign licence, what the minimum age is, what to do about a provisional that has not arrived, and whether a medical condition has to be declared. These are the authority's rules, not your policy, and they change. The assistant should state only what your knowledge states - including "this is set by the licensing authority and you will need to check it with them" - and should never tell somebody they are legally allowed to drive. Treat any rule you do include as a dated block and keep it current.

Test bookings and what the assistant must not do

It cannot book a theory or practical test, cannot check a test date, and cannot see whether a pupil is ready. Write what you do - whether you book tests for pupils, what notice you need, your policy on using your car for the test and what happens if a test is cancelled - and configure the assistant never to say that a pupil will pass or that a date is available.

Parents and under-age enquiries

A good share of enquiries come from a parent on behalf of a teenager, sometimes before the pupil is old enough to start. Write that path: at what age you take bookings, whether you keep a list for pupils who are nearly old enough, and whether a parent can pay for lessons for somebody else. The assistant asks for the contact details of the person it is talking to, and the consent it records is theirs - which is the right behaviour when the pupil is not the enquirer.

What happens to the enquiry

The assistant asks up to three short questions - postcode, manual or automatic, and whether the pupil has driven before - then offers the inquiry form. The visitor confirms their own contact details and agrees to be contacted, you get an e-mail, and the enquiry waits in your inbox with a status, private notes and CSV export. A multi-instructor school can assign each enquiry to the instructor who covers that area, with an alert. See capturing contacts and inquiries and the launch checklist.
