A website chatbot for dental offices that stays on the front-desk side

Written by the Allinaa team · Updated

Your front desk spends a large part of the day answering the same questions: "Do you take my insurance?", "Are you open Saturday?", "What do I bring to my first visit?" An Allinaa website assistant can answer those from information your practice approves. It is set up to stay on the front-desk side of the practice and decline dental advice. AI answers can be wrong, so test those questions before launch.

The questions that tie up a dental front desk

Look at your call log for a week and you will probably see the same handful of topics:

  • Which insurance plans and networks you accept, and whether you are in-network
  • Whether you are taking new patients, and for which dentists
  • New-patient paperwork, what to bring, and how early to arrive
  • Financing or membership plans for patients without insurance
  • Saturday, evening and holiday hours
  • Whether you see children, and from what age
  • Parking and which entrance to use

All of these have one correct answer that your office already knows. Write them down once, approve them, and the assistant can repeat them at 9 PM when the office is closed.

Where the line is: administrative answers, never dental advice

A website assistant should not tell anyone whether their tooth needs a root canal, whether swelling is serious, or which painkiller to take. Allinaa answers from the knowledge you approve, and you should write that boundary into it plainly: "Our assistant can answer questions about appointments, insurance and our office. It cannot give dental or medical advice. For a dental problem, please call the office."

AI answers can still be wrong, so test the boundary yourself. During the trial, ask the assistant clinical questions on purpose ("is it bad if my gum bleeds?") and check that it declines and points to your phone number.

Toothache and emergency messages: the after-hours script you write

Many practices already have an after-hours voicemail script. Put the same text into your knowledge, for example:

If you have a dental emergency during office hours, call us at the number on this page and we will try to see you the same day. After hours, call our emergency line. If you have facial swelling that affects breathing or swallowing, or heavy bleeding that will not stop, call 911 or go to the nearest emergency room.

The assistant repeats your script. It does not judge how urgent the patient's problem is; your script does that work.

Keeping health details out of the chat, and why Allinaa makes no HIPAA claim

Allinaa makes no HIPAA compliance claim and does not sign business associate agreements. The setup is designed around that:

  • The request form has a name (optional), an e-mail address or phone number and free-text boxes. Its fields are the same for every business and can't be removed, and the free-text boxes can receive health details, so the greeting asks visitors not to write any.
  • Questions such as "new or existing patient?" are asked in the chat, from your knowledge, instead of being left to free text.
  • Your greeting and knowledge ask visitors not to share health details in the chat.
  • Clinical questions are sent to your phone line, not collected.

Visitors can still type whatever they want, so this reduces the risk rather than removing it. If your practice needs a vendor that handles protected health information, Allinaa is not that vendor; read the HHS guidance for covered entities and our chatbot privacy basics.

New-patient appointment requests your team confirms

Allinaa does not connect to practice management or scheduling software, so it does not book appointments. It collects an appointment request: new or existing patient, preferred days and times, insurance carrier name if the patient wants to share it, and how to reach them. The patient gives permission to be contacted, your office gets an e-mail, and the patient gets a confirmation that the request was received, not that an appointment exists. Patients who prefer Spanish or another language

On Standard you choose 3 languages, American English plus two more, and Spanish is the usual second choice for US practices. Premium covers all supported languages. Insurance names and office policies are answered from your English knowledge and explained in the patient's language.

Illustrative conversation: "Do you take my PPO plan?"

Visitor: Do you take my PPO plan? It's through my husband's work.

Assistant: We're in-network with several PPO plans, and they're listed on our insurance page. Which insurance company is it? I can check that list for you. To confirm your exact benefits, our office will verify them before your visit.

Visitor: It's one of the big national carriers. Also, my back molar hurts when I drink cold stuff.

Assistant: That carrier is on our in-network list. I can't advise on tooth pain, but our dentists can take a look. Please call the office during business hours. If you'd like, I can also send a new-patient appointment request with your preferred times, without any health details.

Illustrative example, not a real conversation.

Questions owners ask

Can we use Allinaa for protected health information?

No. Allinaa makes no HIPAA compliance claim and does not sign business associate agreements. The setup keeps health details out of the chat and sends clinical questions to your phone line.

Can the chatbot book appointments in our scheduling software?

No. It collects appointment requests with preferred times and contact details, and your team confirms them.

What does it say if someone describes a dental emergency?

It repeats the emergency script you write, such as your emergency line and when to call 911. It does not assess the problem itself.

Can it tell patients if they are in-network?

It can repeat the list of plans you publish. Exact benefits still need verification by your office.
